What Information We Collect
When you book a retreat: Name, email address, phone number, billing address, and payment details (processed securely by Stripe — we do not store your card details).
When you download our brochure: Name, email address, and optionally your phone number (collected via Tally.so).
When you complete the Vitality Audit: Your responses to wellbeing questions, name, email, and optionally your phone number (collected via Tally.so).
When you book a call: Name and email address (collected via Brevo Meetings).
When you message us on WhatsApp: Your phone number and message content.
When you visit our website: We use cookies and tracking technologies (see below) to understand how visitors use our site and to measure the effectiveness of our advertising.
How We Use Your Information
We use your information to: process your booking and payment; send you pre-retreat communications (arrival guides, packing lists, logistics); deliver the brochure or Vitality Audit results you requested; send follow-up emails related to your enquiry or booking (via Brevo); improve our website and advertising through analytics; and contact you about future retreats, but only if you’ve opted in or we have a legitimate interest to do so.
Legal Basis for Processing
Contract: We process your data to fulfil your booking and deliver the retreat services.
Consent: When you submit a form (brochure download, Vitality Audit, call booking), you consent to us contacting you about the retreat.
Legitimate interest: We may send you relevant information about future retreats based on your previous engagement with us. You can opt out at any time.
Third-Party Services
We use the following third-party services to operate our business. Each processes your data in accordance with their own privacy policies:
Stripe (stripe.com) — payment processing, including Klarna Pay in 3
Brevo (brevo.com) — email marketing and meeting bookings
Tally.so (tally.so) — form collection (brochure downloads, Vitality Audit)
Meta (Facebook/Instagram) — advertising and website analytics via Meta Pixel and Conversions API
Google Analytics (GA4) — website usage analytics
TrustIndex — displaying Google Reviews on our website
We do not sell your personal data to any third party.
Cookies and Tracking
Our website uses cookies and similar technologies for the following purposes:
Meta Pixel: Tracks website visits, form submissions, and purchases to measure the effectiveness of our Facebook and Instagram advertising. This data is shared with Meta.
Meta Conversions API: Sends event data server-side to Meta for more accurate advertising measurement.
Google Analytics 4: Collects anonymised data about how visitors use our website, including pages visited, time on site, and device type.
You can control cookies through your browser settings. Disabling cookies may affect some website functionality.
How Long We Keep Your Data
Booking data: Retained for 6 years after your last retreat for accounting and legal purposes.
Email marketing contacts: Retained until you unsubscribe or request deletion.
Enquiry data (brochure downloads, call bookings): Retained for 2 years from last contact.
Your Rights
Under UK data protection law, you have the right to: access the personal data we hold about you; correct any inaccurate data; request deletion of your data; withdraw consent for marketing communications at any time; and lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
Unsubscribing from Emails
Every email we send includes an unsubscribe link. You can also email clark@insiderretreats.co.uk to request removal from our mailing list.
